HubSpot Setup Beta
Connect your MSP's HubSpot CRM to give the agent relationship context while it works: who owns a customer's account, its lifecycle stage, the most active contacts, open deals, open HubSpot tickets, and the latest notes from your account managers. With approval, the agent can also update records, log notes, and create follow-up tasks.
Junto supports one HubSpot portal per organization -- your MSP's own CRM.
How Junto Connects
You connect HubSpot through OAuth from Junto, so no API key is stored. You then map each Junto company to its HubSpot company. Whenever a conversation is about a mapped company, the agent keeps to that HubSpot company and the contacts, deals, tickets, and notes associated with it.
Prerequisites
- A Junto Admin or Owner account
- A HubSpot user in your MSP's portal who can authorize apps
- Customer companies in Junto, imported from your PSA, to map to HubSpot companies
Step 1: Connect HubSpot
- Go to Settings > Integrations > HubSpot.
- Click Connect HubSpot. A HubSpot authorization window opens.
- Sign in, choose your MSP's HubSpot portal, and approve the requested access.
Junto asks for access to read and update companies, contacts, deals, and tickets, and to read record owners and property definitions.
When the connection succeeds, the card shows your HubSpot portal ID and Connected with OAuth.
Step 2: Test the Connection
Click Test connection on the card. If any permission is missing, the result names it -- for example, when your HubSpot plan or user can't access tickets or deals.
Step 3: Map Companies
- Click Map companies on the card.
- For each Junto company, select its HubSpot company.
- Click Save mappings.
You can also click Run auto-map to match companies by name, then confirm the suggestions you want. If no HubSpot companies are listed, add companies in HubSpot and reopen the dialog.
How Company Scoping Works
- A conversation about a mapped company -- a ticket chat, or an Explore chat where you name the company -- only sees that HubSpot company and the records associated with it. A record that belongs to another company is reported as not found.
- An Explore chat that isn't about a company sees the whole portal, for example "which deals close this month?".
- An unmapped company can't use HubSpot until it is mapped.
What the Agent Can Do
| Capability | What Junto can do | Risk level |
|---|---|---|
| Account overview | One summary of a customer: account owner, lifecycle stage, most recently active contacts, open deals with stage, amount, and close date, open HubSpot tickets, and the latest notes | Low |
| Search companies | Find companies by name, domain, or phone, with lifecycle stage, owner, and open deal count | Low |
| Search contacts | Find people by name, email, or phone, or list a company's contacts, with job title and lifecycle stage | Low |
| Search deals | Find deals by name or pipeline stage, or list a customer's deals, with stage, amount, close date, and owner. Open deals only unless you ask for closed ones | Low |
| Search tickets | Find HubSpot Service Hub tickets by subject, status, or priority, or list a customer's tickets. Open tickets only unless you ask for closed ones | Low |
| Get record | Read one company, contact, deal, or ticket, with its owner and associated records | Low |
| List notes | Read the notes logged on a company, contact, deal, or ticket, newest first | Low |
| List owners | List the HubSpot users who can own records, such as account managers | Low |
| Describe object | List the editable fields for companies, contacts, deals, or tickets, with allowed values and pipeline stages | Low |
| Update record | Change fields on a company, contact, deal, or ticket -- for example a deal's stage or amount, a contact's job title, or a ticket's status or owner | Medium |
| Add note | Log a note on a company, contact, deal, or ticket, such as a summary of support work for the account manager | Medium |
| Add task | Create a follow-up task on a record, with a due date (tomorrow by default) and an optional owner | Medium |
All write actions require technician approval before execution. Read-only tools do not require approval.
Where the Tools Are Available
- Explore chat: every HubSpot capability.
- Ticket chat: the ticket company's account overview, searches, records, and notes, describing objects, and the three write actions. Owners can't be listed from ticket chat; the agent can still assign an owner by email or exact name.
- HubSpot is not used during automatic ticket triage.
Behavior Notes
- Field names are checked first. Updates are checked against your portal's fields before anything is written. Unknown, read-only, calculated, and hidden fields are refused, and so are company associations -- the agent can't move a contact or deal to a different company.
- Dropdown fields accept either the stored value or its label, and owners can be given by owner ID, email, or exact name.
- HubSpot tickets are separate from PSA tickets. The agent searches HubSpot tickets only when you ask about HubSpot, or as part of an account overview.
- Partial overviews: If HubSpot refuses one part of an account overview, such as deals when that permission is missing, the rest still returns and the agent reports what it couldn't read.
Example requests:
- "Give me the HubSpot account overview for Acme before my call."
- "Who's Acme's account manager, and are there any open deals?"
- "Log a note on Acme in HubSpot summarizing this week's outage."
- "Create a HubSpot task for Acme's account owner to call about the renewal next Friday."
- "Move the Acme firewall refresh deal to Contract Sent."
Managing the Connection
- Disconnect: Click Disconnect and confirm. This removes Junto's HubSpot connection and company mappings. Nothing changes in HubSpot.
- Reconnect: Click Connect HubSpot again after disconnecting, then map companies again.
Troubleshooting
- Connection test names missing permissions -- Reconnect with a HubSpot user who can grant that access, and confirm your HubSpot plan includes the object (for example, tickets need Service Hub).
- "Not found" for a record you can see in HubSpot -- In a conversation about a company, the agent only sees records associated with that company's HubSpot company. Associate the record in HubSpot, or ask from an Explore chat that isn't about a company.
- A company can't use HubSpot -- Open Map companies and map the company to its HubSpot company.
- No HubSpot companies in the mapping dialog -- Add companies in HubSpot, then reopen the dialog.
- An update was refused -- The field may be read-only, calculated, hidden, or a company association, or the value isn't one of the field's allowed options. Ask the agent to describe the object to see editable fields and allowed values.
